Behind the Scenes at Grid Guru: How We Process Your G99 & Handover Pack Applications

From Website Submission to DNO Approval: Our Structured Workflow Explained

At Grid Guru, we often talk about taking the paperwork burden away from solar PV and heat pump installers — but what actually happens after you hit “Submit” on our website?

In this blog, I want to take you behind the scenes and show you exactly how your application moves through our system — from initial submission, through DNO approval, right to a completed MCS-compliant handover pack.

Step 1 – Your Website Submission Feeds Directly into Our CRM

When you submit a job through our website form, the information doesn’t sit in an inbox waiting to be manually sorted.

It feeds directly into our HubSpot CRM system, where:

  • Your installer profile is already logged

  • Your membership number is recorded

  • Your qualifications and services are stored

  • All previous emails, calls, and notes are tracked

  • Every job submission is attached to your account

This gives us full visibility of your history with Grid Guru — ensuring consistency, accountability, and speed.

Step 2 – We Open Your Job File (What We Actually See)

When you submit a G99 application (for example, up to 50kW with a PV handover pack), here’s what appears in our office:

  • MPAN number

  • DNO identification (based on postcode)

  • Installation address

  • Inverter and system details

  • Export requirements

  • Supporting documents (LOA, fuse photo, SLD, datasheets, etc.)

We immediately create a structured submission workflow inside HubSpot.

This isn’t just a checklist — it’s a tracked process with:

  • Internal tasks

  • Deadlines

  • Correspondence logs

  • DNO submission records

  • Offer tracking

  • Post-install notification reminders

Every single stage is documented.

Step 3 – Document Review & DNO Preparation

We then assess the documentation you’ve uploaded, including:

  • Letter of Authority

  • Fuse photograph

  • Phase type confirmation

  • Inverter ENA Type Test reference

  • Schematic system design

  • Export limitation details (if applicable)

We collaborate all of this information and prepare a compliant DNO submission.

For a G99 application, that means:

  • Correct form selection

  • Technical validation

  • Export capacity confirmation

  • Supporting documentation formatting

  • Submission via the appropriate DNO portal or email

Everything is stored within your job record.

Step 4 – Full Workflow Through to Offer & Installation

A G99 isn’t just “submit and wait.”

Our system tracks:

  • Submission date

  • Expected response time

  • DNO correspondence

  • Offer received

  • Offer acceptance (which we handle on your behalf)

  • Installation deadline

  • Commissioning requirements

Nothing is left to memory. Nothing gets lost in email threads.

Step 5 – Post-Install & Handover Pack Creation

Once you complete the install, the second phase begins.

We collect:

  • Installation photos

  • Generation meter images

  • Test results

  • Final inverter confirmation

  • Commissioning confirmation

From there, we:

  • Register building control

  • Arrange insurance-backed warranties

  • Register MCS certification

  • Create structured web links to datasheets

  • Compile your full handover pack

Your finished handover pack is:

  • Fully MCS compliant

  • Bespoke to your company

  • Professionally structured

  • Stored securely for future retrieval

If you ever need it again — we have it on record.

How Many Steps Are Involved?

Honestly? Quite a few.

From submission to completion, a single G99 + Handover Pack process involves:

  • Multiple validation stages

  • Several internal checks

  • DNO correspondence

  • Installer follow-ups

  • Compliance registrations

  • Final document production

And this is exactly why most installers outsource it.

Because while you’re on-site installing systems, we’re managing:

  • Deadlines

  • Documentation

  • Compliance

  • Communication

  • Audit protection

Why We Built It This Way

The reason we use a structured CRM workflow is simple:

  • ✅ Full transparency

  • ✅ Timeline tracking

  • ✅ Zero missed steps

  • ✅ Faster turnaround

  • ✅ Consistent quality

  • ✅ Complete documentation history

It allows us to scale efficiently while keeping quality high.

And for you, it means peace of mind.
